International Buyer RFQ Template: How to Request Comparable Supplier Quotes
A weak RFQ produces weak quotes. When each supplier answers a different question, price comparison becomes guesswork. Use this structure so manufacturers respond on the same commercial basis.
Copy-ready RFQ sections
A. Buyer & delivery
- Company name, country, contact person
- Destination port / airport / city
- Required delivery or shipment window
B. Product specification
- Product name and detailed description
- Material, grade, dimensions, tolerances
- Color, finish, branding / private label needs
- Standards or certificates required
- Reference photos or drawings attached
C. Quantity & packing
- Trial quantity and annual estimate
- MOQ flexibility
- Inner/outer packing, palletization, marking
D. Commercial terms requested
- Preferred Incoterm + named place/port
- Currency
- Payment terms you can accept
- Sample cost and sample lead time
- Production lead time after sample approval
E. Quality & compliance
- Inspection rights (pre-shipment / during production)
- Acceptable quality limits if known
- Restricted substances or labeling rules for your market
What to ask suppliers to return
- Unit price on the requested Incoterm
- Tooling or plate charges if any
- Net/gross weight and carton size estimate
- Proposed HS code
- Validity of quotation
- Company profile and relevant certificates
Tips that improve response quality
- Send the same RFQ file to every shortlisted supplier
- Give a clear response deadline
- Do not mix multiple unrelated products in one RFQ unless you want a catalog dump
- State whether you are a trader, brand owner or industrial user

Frequently asked questions
How detailed should an RFQ be?
Detailed enough that two suppliers can quote the same product without guessing critical attributes.
Should I share my target price?
Optional. A target range can help, but clear specifications matter more than a single number.
What if suppliers ignore the Incoterm I requested?
Ask them to re-quote on your basis or normalize the offer using a landed-cost comparison.
